Corporate and government sectors
have traditionally been hesitant to invest in data encryption
security software. Their resistance is understandable, since
such software is perceived as complex to learn and implement.
Most data encryption software solutions on the market today claim
to offer automatic, transparent and on-the-fly data encryption.
In truth, however, these software solutions, which follow the
current industry standard, are complicated and lack usability.

The current industry standard
for automatic encryption technology can be characterized as "location-based".
These software solutions require employees to remember to save
files in special "protected" drive
or folder locations. Only those files, which are saved in these
specific locations, are encrypted; files which are saved or
moved elsewhere are unprotected. There are many flaws with
this approach, as detailed below.

The need to
be technical. Employees don't know (or care) where their
files are located. If questioned where they've saved
their documents, most would answer "in Word," or "in
Excel." Most employees don't know how to
navigate the file system. To expect such a level
of technical expertise is unrealistic. Technical
sophistication of employees should not be a requirement
for data security.

The need to have
a good memory. Even if an employee is more technically
adept, he must still remember to keep his files
in protected locations, and to not put them elsewhere. If other
locations are desired, he must remember to individually
protect each location. A good memory should also not be a requirement
for data security.

The threat of temporary
files. Most Windows programs create temporary files, which contain
exact copies of the primary data. These temporary files
are supposed to be deleted by the programs which create them.
Unfortunately, when a file is deleted it is not really gone;
hackers can easily recover the original data (as they can
with any deleted file). Because there is no way to control
where a Windows application will put temporary files, location
based encryption cannot reliably encrypt temporary files, thus
leaving the user unprotected.

The risk of shared
network locations and shared computers. In Enterprise environments
it is common for groups of users to share the same public
network drives and folders via network permissions. Under
Windows NT and Windows 2000, multiple users may also share
the same computer using different log on names. Location-based
encryption solutions can only provide the same level of access
permission to all users. Employees who share network locations
and computers therefore have no data security protection
from each other.

Files
sent via email risk interception. Sending a file
via email is completely insecure. Files attached to email messages
are easily intercepted while in transit between sender
and recipient. Location-based encryption software can do
nothing to protect a file once it leaves its protected location
and travels across the Internet via email.

Employees need
no technical expertise. It doesn't matter if an employee
knows little more than how to turn on the computer. Whatever
data he creates - wherever he creates it - is automatically
protected with encryption. No action is required of the employee
to make this happen. No incorrect action can prevent his files
from being automatically protected.

Employees don't need
to remember anything. Regardless of where the employee keeps
his files, he is protected. He does not need to remember to
individually protect each new location, or save files into
previously protected locations.

Temporary files are
no threat. OfficeLock
individually "shreds" a
deleted temporary file by thoroughly
wiping its binary data from the hard disk at the sector level,
so it cannot be recovered. OfficeLock exceeds the U.S. Department
of Defense mandated standards for secure file removal necessary
to prevent unauthorized disclosure of classified information.

Share
computers and network resources without risk. OfficeLock
automatically encrypts files wherever they are located. An
employee's files are encrypted only for use by that employee;
other users sharing the PC or network file space
cannot open the files. Regardless of who is granted
network access permission, and regardless of
who is granted physical access to share a PC,
OfficeLock protects files so that only the authorized
user may open them.

Secure transmission
of files sent via email. The OfficeLock Group feature enables users to securely
transmit files via email. Once a user joins an OfficeLock group, he
can then securely exchange protected files
with other group members. It's easy: group members choose which
files they want to share with the group, then OfficeLock automatically
encrypts and decrypts group files for
group members only.
